About Horse Racing Alberta
Horse Racing Alberta (HRA) is dedicated to governing, supervising, and promoting the horse racing industry across Alberta with integrity, safety, and operational excellence. We are currently seeking a meticulous, highly technical, and organized Regulatory Administrative & Support professional to join our dynamic Regulatory Division.
About the Role
The Regulatory Administrative & Support position plays a critical role in supporting the Regulatory Division by managing office operations, streamlining administrative workflows, and assisting in the drafting, formatting, and management of official documents, standard operating procedures, and regulatory policies.
This position requires advanced technical aptitude and extensive computer experience to maintain secure databases, manage compliance documentation, and optimize digital collaboration platforms.
Key Responsibilities
- Document & Policy Development Support: Assist the Regulatory team in drafting, editing, formatting, and maintaining official documents, directives, standard operating procedures (SOPs), and policies. Organize reports, briefing notes, and proposals for executive leadership and the HRA Board of Directors. Maintain a secure, version-controlled repository for all regulatory records.
- Office Operations & Administrative Support: Act as a key administrative point of contact, coordinating schedules, managing correspondence, and facilitating communication between track officials, staff, and industry stakeholders. Prepare agendas, record meeting minutes, and track follow-up action items.
- Advanced Computer & Systems Management: Exceptional understanding of computers, operating systems, and digital collaboration tools, with an aptitude for quickly mastering new regulatory software or databases.
- Proficiency in Productivity Suites: Advanced skills in Microsoft Office applications (Word, Excel, Outlook, Teams, and PowerPoint) or equivalent platforms for document styling, complex spreadsheet management, and professional presentations.
- Organizational & Time Management Skills: Superior ability to prioritize tasks, manage multiple projects simultaneously, and meet tight deadlines in a fast-paced environment.
- Communication & Interpersonal Skills: Excellent professional written and verbal communication skills, with a high degree of tact, discretion, and confidentiality handling sensitive regulatory and personnel information.
- Problem-Solving & Attention to Detail: High level of accuracy in proofreading, formatting policy documents, and reconciling administrative data.
Qualifications & Experience
- Education: Post-secondary education in Business Administration, Office Management, Legal Administration, Public Policy, or a related field (or an equivalent combination of education and directly relevant experience).
- Experience: Minimum of 3–5 years of administrative experience, preferably within a regulatory or fast-paced operational environment.
- Technical Proficiency: Exceptional computer literacy and extensive experience with advanced office applications (Microsoft Office Suites: Word, Excel, Outlook, Teams, and PowerPoint), database management, and electronic document control systems.
- Industry Knowledge: Familiarity with racing industry operations and regulatory compliance is considered a strong asset.
- Skills & Competencies: Superior organizational and time-management skills; exceptional written and verbal communication; high attention to detail and accuracy; and a high degree of tact, discretion, and confidentiality when handling sensitive information.
Working Conditions
- Standard office environment using computers, dual monitors, and office productivity equipment.
- Occasional requirement to work flexible hours or overtime to support meetings and urgent regulatory deadlines.
- Potential travel.
- Exposure to animals (primarily horses), dust, and dander.
